PURPOSE OF THE POSITION The HR Payroll & Benefits Specialist (US) is a hands-on, execution-focused role responsible for accurate and timely processing of U.S. payroll, payroll-linked reporting, and day-to-day benefits administration.

This role is designed for a highly detail-oriented professional who excels at process execution, data accuracy, and follow-through, with the opportunity to grow into broader ownership over time based on performance.

ROLE SCOPE & EXPECTATION

  • This is an execution-heavy individual contributor role
  • Success is measured by accuracy, timeliness, and compliance
  • Strategic design and independent decision-making will evolve gradually with experience
  • Work is performed under defined policies, SOPs, and supervisory oversight
KEY RESPONSIBILITIES 1. U.S. Payroll Execution & Validation
  • Support and execute bi-weekly U.S. payroll processing in coordination with Finance and the payroll provider.
  • Review and validate, on a weekly and bi-weekly basis:

  • Employee timesheets
  • Attendance / sign-in records
  • Expense submissions linked to payroll
  • Identify discrepancies and coordinate corrections with supervisors and project teams before payroll cut-off.
  • Ensure payroll data accuracy related to:

  • Hours worked

  • Overtime
  • PTO, holidays, and approved leave
  • Maintain payroll checklists and documentation for audit readiness.
2. Payroll-Linked Reporting (Projects & Clients)
  • Prepare monthly project-specific payroll reports using predefined templates.
  • Accurately allocate labor costs by:

  • Project

  • Cost center

  • Client (where applicable)

  • Share finalized reports with
  • Internal Accounts / Finance teams
  • Client representatives, as instructed
  • Support reconciliations and follow-ups related to labor cost reporting.
3. Benefits Administration (US)
  • Administer day-to-day U.S. employee benefits, including:
  • Medical, dental, vision

  • Life and disability insurance
  • Retirement / 401(k), where applicable

  • Process

  • New hire enrollments

  • Terminations

  • Qualifying life event changes
  • Ensure timely and accurate communication of enrollment changes to third-party benefit providers.
  • Respond to employee queries related to benefits enrollment, deductions, and coverage.
4. HRIS & Payroll System Updates
  • Maintain accurate employee data in the HRIS / payroll system, including:

  • Personal details

  • Job and compensation changes
  • Project and cost center mappings
  • Ensure payroll-related system entries align with approved documentat
